Des Plaines Office Equipment (DPOE) launches Archiving Division; will provide software and support

ELK GROVE VILLAGE, IL, ISSUED February 15, 2010…Des Plaines Office Equipment (DPOE), a second-generation, three-location Chicago business that has led the way in providing office equipment solutions since 1955, today announced that it has added an Archiving Division to its menu of services for business owners, institutions and organizations.

DPOE is now offering archiving software that enables a business or organization to store and easily retrieve documents in electronic format, through an arrangement with the national provider Laserfiche Document Management (www.laserfiche.com). In addition to offering the software to end users, DPOE has in place a team of technicians to provide support services, both in person and via telephone and electronically, to support the software.

Chip Miceli, President of DPOE, said that this is the latest evolution in the document management industry, which is undergoing a transformation toward print management, or the analysis of “per page” cost of generating documents. Through print management techniques, many businesses and institutions have seen savings of 10% to 15% in their annual document generation costs. Archiving takes document management to the next level, Miceli notes.

“There is an ever-increasing movement toward the paperless office,” said Miceli. “Companies are looking to conserve wherever they can, and what was standard operating procedure twenty, ten or even three years ago is no longer the case.  The business community wants to be more conservation-minded and use paper more sparingly.”

Miceli said that the conversion to a more paperless way of doing business is not new, but it is gaining in popularity and has changed the way his industry does business. Miceli, a member of the Board of Directors of the national trade association Select Dealer Group, has spoken extensively to dealers across the United States on the topic of document management; he is considered a leader in the field. “This is the next step forward,” he said, adding, “Although it might at first seem counter-intuitive to someone whose industry relies on paper, toner, ink and equipment that produces copies to get out in front of this issue, it is the way of the future and we need to be ready to offer these services.”

DPOE will continue to provide support, equipment and all services for office equipment that generates documents (they are leading re-sellers for several national name brands), and in fact believes that this will continue to be a major part of his firm’s business; but they are also actively promoting  archiving software and solutions for the businesses and organizations that request it.

Archiving, or electronic storage, offers a number of advantage for the business, Chamber of Commerce, hospital, school or institution that wants to get out from under the burden of physical storage of paper records. In the past, storage programs on the market were not sophisticated enough.

DPOE’s Laserfiche archiving programs are available for both traditional documents as well as mailbox (electronic e-mail), and offer easy retrieval. Additionally, the new programs are compliant with privacy regulations including Gramm-Leach Bliley, Freedom of Information Act, HIPAA, and others. Secure storage, comprehensive auditing, and access provisions make it easy and convenient for clients to utilize this service. Programs offer a browser-based policy management environment so that policies can be tailored to specific industries, markets and customers.
